Under the direction of the Student Academic Support Services (SASS) executive director, the Senior Academic Advisor is responsible for Student Academic Support Services’ technology operations, supervision of the academic advising staff, managing the daily activities and resources of the department, and the provision of academic advising and retention support for a variety of populations: undecided students, students at risk, transfer students, and partnering majors.
The successful candidate will possess a high level of knowledge and expertise on issues, trends, and external perspectives related to academic advising including first-year programs, student retention, the use and application of technology, and social media. They will effectively communicate with a variety of constituencies (students, parents, staff, and faculty) regarding advising-related issues, including course availability and registration and have a deep commitment to and understanding of the rewards and challenges of working with students.

- Serve as supervisor for an academic advisor; hold bi-weekly supervision meetings; support and train advisor to meet department goals. Serve a caseload of students in support of departmental learning outcomes, student retention initiatives, and national accountability measures. Serving as the advisor of record for an annual cohort of no more than 300 Students. Student populations include undecided first-year students, partnering academic departments, at-risk student populations, and transfer students.
- Support first-year students by providing outreach and one-on-one advising appointments for major and career exploration, resource referral, and introduction or refinement of advising technology. Contact undecided advisees as they transition beyond the first year in an effort to focus on educational pursuits and to facilitate connection with academic departments. Prepare all undecided students to declare a major and assign a faculty advisor. Coordinate a peer advising program to facilitate academic advising support as provided to the campus at large through drop-in advising and schedule adjustment sessions, advisor on-call hours at the front desk, classroom presentations and through Student Engagement entities.
- Coordinate at-risk student communication for students placed on academic probation and academically suspended from the college. Meet with students (and their parents) in person and virtually to discuss policies and avenues available to them to bring their cumulative grade point average to the scholastic minimum required. Refer students to various campus resources. Analyze results of each semester (communications, meetings with advisors, those removed from probation) and compare to previous semesters and track effectiveness. Meet with a cohort of students referred by Financial Aid for satisfactory academic progress infractions. Develop an academic plan and meet with students regularly throughout the fall semester.
- Introduce transfer students to advising technology. Advise students regarding transfer credits. Coordinate transfer registration: Utilize Colleague registration functions, TRER to Program Planning sheet/Program Evaluation, and interpret TRER to Program Evaluation. Ensure a timely review of transfer equivalencies, and update records accordingly. Coordinate with other offices.
- Support department’s orientation and drop-in advising events. Research and implement new strategies and programs to assist students in advising, course selection, degree planning, and access to KSC resources and high impact practices. Recruit, plan and teach credit courses in support of students’ transition to college. Maintain cohort of undecided students as advisees until declaration. May represent the department on a CARES committee.
Duty/Responsibility
- Serve as a “SUPERUSER” for SASS, manage Handshake, Focus2, Next Gen, and GEO managed Via TRM to name a few. Serve as the first point of contact with the vendor; lead in resolving application issues between vendor support staff and ITG. Works with ITG staff to proactively plan for application upgrades and/or new services; if applicable, connects with vendor’s user community to be aware of changes, upgrades, known issues, workarounds; Requests use of SSO whenever possible and oversees security permissions within the application; Ensures department users and other end users are trained in using the application; if Colleague data feeds are required, Super User provides ITG with data feed requirements and coordinates testing; Removes/archives account access when staff/faculty/student workers no longer need access; Ensures student worker access has been removed at the end of the academic year; Oversees business process improvements. Proactively seeks out how to do a process better within the application to save department time and resources; maintains documentation and assigns a back-up person when out of the office for extended periods.
- Oversees and updates advising web pages and related links as they apply to office functions.
- Ongoing research and development of enhanced use of the student management database. Manage communications with students through automated processes. Develop complete tracking and workflow procedures for advisors’ interactions with students. Work with IT staff from other offices such as Admissions or the Registrar’s office to fluidly communicate with students as they transition from applicant to matriculated status. Work with ITG to update security access to appropriate components of the Colleague database. Support for transfer and new student’s registration processes through continued development of process improvements such as new student orientation practices.
- Write, update, and maintain reports from a Student Information System (Colleague) using the College’s WEBI report writing tool.
- Serve as a member of the implementation and continuation team for the Ellucian student registration and academic progress module: Student Planning and how it will affect the department and students from an advising perspective. Serve on IS Group and MAD committees to represent unit with regard to technology related issues.
Duty/Responsibility
- Collaborate with faculty, career advisors as well as other departments such as Admissions, the Registrar’s Office, Residential Life, Continuing Education, Financial Aid, TRIO, ODS, Global Education Office, Multicultural Office, and academic departments to support students in academic advising. Communicate and market academic advising – related services and events, as well as student
- outcomes. Maintain professional affiliations including NACADA and other associations as applicable.
Duty/Responsibility
- Assist in the day-to-day function of advising by supporting the operation of the Front Desk in answering a wide range of questions and making campus referrals as necessary. Attend general meetings and represent SASS and advising. Coordinate relevant files and records; oversee maintenance and updating of student files.
Duty/Responsibility
- Promote and market advising services by coordinating Peer Advisors for tabling events in public areas and workshops in the Residence Halls. Content of promotional efforts might include advertising upcoming events and intentional bridging between academic and career advising by identifying and matching early experiential/practical opportunities for students in first and sophomore years.
